In this role, you will be the face of our company, managing our front desk operations and ensuring our clients and employees have a seamless experience from the moment they walk through the door.
Responsibilities
- Front Desk Management: Greet and welcome visitors with a professional demeanor, directing them appropriately and managing the reception area to maintain a clean and organized environment.
- Communication Hub: Answer and screen incoming calls, take detailed messages, and transfer inquiries to the appropriate team members efficiently.
- Mail and Package Handling: Sort and distribute incoming mail and packages, ensuring timely delivery to departments and staff.
- Scheduling Support: Assist in scheduling meetings and managing calendars for the executive team, including coordinating conference rooms and audio-visual equipment.
- Administrative Support: Handle incoming emails, prepare meeting materials, and perform general clerical duties as needed to support office operations.
- Vendor Relations: Manage relationships with building services and external vendors, including handling package deliveries and maintaining office supplies inventory.
Qualifications
- Experience: Minimum of 1-2 years of professional receptionist or administrative support experience.
- Communication: Exceptional verbal and written communication skills with a professional telephone manner.
- Technical Proficiency: Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM software or phone systems.
- Organization: Ability to multitask, prioritize tasks, and manage time effectively in a busy office setting.
- Professionalism: High level of integrity, discretion, and professionalism when interacting with staff and clients.
- Flexibility: Willingness to work occasional evenings or weekends as required by business needs.
