Responsibilities
- Operational Management: Oversee the day-to-day operations of the office, ensuring a productive and welcoming environment for all employees and visitors.
- Administrative Support: Manage calendars, schedule meetings, and coordinate travel arrangements for senior leadership with precision and discretion.
- Vendor Relations: Serve as the primary point of contact for office vendors, including IT support, cleaning services, and office supply vendors, negotiating contracts and managing invoices.
- Event Coordination: Plan and execute company events, team-building activities, and client meetings, ensuring all logistical details are executed flawlessly.
- Office Supplies & Inventory: Monitor office inventory levels, place orders for necessary supplies, and maintain a well-organized breakroom and workspace.
- HR & Payroll Assistance: Assist with onboarding new hires, maintaining employee records, and supporting the payroll process.
- Communication Hub: Act as the central communication hub, answering phones, responding to emails, and directing inquiries to the appropriate departments.
Qualifications
- Experience: Minimum of 3-5 years of proven experience in office management, administration, or a related field.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software or property management systems.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with diverse stakeholders.
- Organization: Exceptional organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- Problem Solving: Strong analytical and problem-solving abilities with a proactive approach to identifying issues before they arise.
- Interpersonal: High emotional intelligence and the ability to foster a positive team culture.
- Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
