As the face of our Miami office, you will play a pivotal role in fostering a positive company culture while managing the day-to-day logistical requirements of our growing team.
Responsibilities
- Operational Excellence: Oversee the daily operations of the Miami office, ensuring a smooth, efficient, and organized work environment for all employees.
- Vendor Management: Act as the primary point of contact for vendors, service providers, and contractors, negotiating contracts and managing vendor relationships to ensure cost-effectiveness and quality service.
- Financial Administration: Manage office budgets, track expenses, process invoices, and prepare monthly reconciliation reports with accuracy.
- Staff Coordination: Manage office supplies inventory, order stationery, and coordinate maintenance and repairs of office equipment and facilities.
- Event Coordination: Plan and execute company events, team-building activities, and client meetings, ensuring all logistical details are executed flawlessly.
- IT Support: Serve as the first line of support for office technology, managing software licenses, troubleshooting hardware issues, and liaising with IT service providers.
Qualifications
- Experience: Minimum of 3-5 years of experience in office management, administrative coordination, or a similar role.
- Education: High school diploma required; Associate’s or Bachelor’s degree in Business Administration or a related field is preferred.
- Software Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software or project management tools.
- Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with staff, clients, and senior management.
- Organization: Exceptional organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced setting.
- Problem Solving: Proactive approach to identifying operational bottlenecks and implementing effective solutions.
