Responsibilities
- Oversee Daily Operations: Manage the daily functioning of the office, ensuring a smooth and efficient workflow for all departments.
- Vendor Management: Research, negotiate, and manage relationships with vendors and service providers (IT, maintenance, cleaning, etc.) to ensure cost-effectiveness and quality service.
- Event Coordination: Plan and coordinate company-wide events, team building activities, and client meetings, including logistics, catering, and venue arrangements.
- Financial Administration: Assist with accounts payable/receivable, expense reports, and maintaining office budgets.
- Reception & Front Desk: Manage the front desk operations, greet visitors, and ensure a professional first impression is always made.
- Office Supplies & Inventory: Monitor inventory levels of office supplies and equipment, placing orders as needed to prevent shortages.
- HR Support: Assist in onboarding new hires and maintaining employee records and personnel files.
Qualifications
- Experience: Minimum of 3-5 years of proven experience as an Office Manager or Administrative Coordinator.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with property management or CRM software.
- Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with staff and executives.
- Problem-Solving: Strong analytical skills with the ability to identify operational inefficiencies and implement effective solutions.
- Organization: Exceptional attention to detail and the ability to multitask in a fast-paced environment.
- Leadership: Demonstrated ability to lead a team or support staff effectively.
