Responsibilities
- Oversee Daily Operations: Manage the general administration of the office, including reception, mail handling, and facility maintenance to ensure a productive environment.
- Vendor Management: Act as the primary point of contact for external vendors, including IT support, cleaning services, and office supply vendors, negotiating contracts and managing invoices.
- Event Coordination: Plan and organize company-wide events, team-building activities, and meetings, ensuring logistics are seamless and attendees have a positive experience.
- HR Administration: Assist with HR functions such as onboarding new hires, maintaining employee records, and coordinating with payroll.
- Office Supplies & Equipment: Monitor inventory levels, place orders for necessary supplies, and oversee the maintenance and repair of office equipment.
- Communication Hub: Serve as the liaison between staff and management, answering inquiries and disseminating important information efficiently.
Qualifications
- Experience: Minimum of 3-5 years of experience in office management or a similar administrative role.
- Software Proficiency: Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and experience with project management or HRIS software.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with clients and employees at all levels.
- Organization: Strong multitasking abilities with exceptional attention to detail and organizational skills.
- Problem Solving: Proactive approach to identifying operational issues and implementing effective solutions.
- Education: High school diploma or equivalent required; Associate’s degree or Bachelor’s degree in Business Administration is a plus.
