Responsibilities
- Oversee the daily operations of the front desk and reception area, ensuring a professional first impression for all visitors.
- Manage office inventory, supply orders, and vendor relationships to ensure cost-effectiveness and quality.
- Schedule and coordinate internal meetings, board meetings, and external appointments using Google Calendar or Outlook.
- Prepare and distribute weekly newsletters, memos, and internal communications to keep the team aligned.
- Assist with HR onboarding processes, new hire paperwork, and maintaining employee records.
- Maintain a safe, clean, and organized office environment, including managing kitchen facilities and common areas.
- Handle incoming inquiries via phone and email with a high degree of professionalism and accuracy.
Qualifications
- Minimum of 3-5 years of experience in an office management or administrative support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and QuickBooks (or similar accounting software).
- Strong interpersonal and communication skills, with the ability to interact effectively with staff and clients.
- Ability to prioritize tasks and manage time effectively in a fast-paced, deadline-driven environment.
- Bachelor’s degree preferred or equivalent administrative experience.
- Valid driver’s license and reliable transportation.
