Responsibilities
- Oversee daily office operations including supply inventory management, equipment maintenance, and facility coordination
- Manage administrative staff scheduling, performance, and professional development
- Coordinate complex travel arrangements, meeting logistics, and executive calendar management
- Implement and optimize office procedures for maximum efficiency and cost-effectiveness
- Serve as primary point of contact for vendors, contractors, and facility management
- Manage departmental budgeting, expense reports, and procurement processes
- Lead onboarding processes for new hires and maintain HR documentation
Qualifications
- Minimum 5 years progressive experience in office administration or management
- Proven expertise in office software (Microsoft 365, QuickBooks, HRIS systems)
- Exceptional organizational skills with demonstrated ability to manage competing priorities
- Strong financial acumen with budgeting and expense management experience
- Excellent interpersonal and conflict resolution abilities
- Valid California driver's license and reliable transportation
- Professional certification (e.g., CAP-OM, CAM) preferred
