Responsibilities
- Operational Oversight: Manage the day-to-day operations of the office, ensuring a clean, safe, and organized environment for all employees and visitors.
- Administrative Coordination: Oversee office supplies inventory, manage vendor contracts (IT, cleaning, maintenance), and process invoices and expense reports.
- Event Planning: Plan and coordinate company-wide events, team building activities, and client reception lunches.
- HR Support: Assist with the onboarding process for new hires, maintain personnel files, and support HR initiatives as needed.
- Calendar & Travel: Manage executive calendars, schedule meetings, and handle complex travel arrangements.
- Communication Hub: Act as the primary point of contact for internal and external inquiries, ensuring timely and professional responses.
- Facilities Management: Conduct regular facility inspections and liaise with building management to address maintenance issues promptly.
Qualifications
- Experience: Minimum of 4-6 years of progressive experience in office management or administrative support.
- Technical Proficiency: Advanced knowledge of Microsoft Office Suite (Excel, PowerPoint, Outlook) and experience with property management or HRIS software.
- Communication: Exceptional verbal and written communication skills with the ability to interact professionally with clients and staff at all levels.
- Problem Solving: Strong analytical skills with the ability to identify issues and implement effective solutions quickly.
- Organization: Demonstrated ability to manage multiple priorities and adhere to strict deadlines.
- Education: Bachelor’s degree in Business Administration, Communications, or related field preferred.
