Responsibilities
- Oversee daily office operations including facilities management, supply procurement, and equipment maintenance
- Manage administrative staff scheduling, performance, and professional development
- Coordinate executive calendar management, meeting logistics, and corporate travel arrangements
- Develop and maintain office budgets, expense reports, and vendor relationships
- Implement process improvements to enhance operational efficiency and employee experience
- Act as primary point of contact for building management and service providers
- Support HR initiatives onboarding, compliance, and employee engagement programs
Qualifications
- Bachelor's degree in Business Administration or related field (or equivalent experience)
- 5+ years progressive office management experience in fast-paced environments
- Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
- Strong budgeting, vendor negotiation, and facilities management skills
- Exceptional organizational abilities with attention to detail and accuracy
- Proven experience supervising administrative teams of 3+ professionals
- Knowledge of Philadelphia business landscape and local regulations
- QuickBooks or similar financial software proficiency preferred
