Responsibilities
- Manage multi-line phone system with 15+ extensions and prioritize client communications
- Coordinate complex executive calendars including court appearances and client meetings
- Process incoming/outgoing mail and manage confidential document handling
- Oversee visitor protocols including badge issuance and meeting room coordination
- Assist with onboarding processes and new employee orientation logistics
- Maintain office supply inventory and vendor relationships for procurement
- Support administrative team with document preparation and filing systems
Qualifications
- Minimum 3 years executive receptionist or administrative experience in professional services
- Exceptional verbal/written communication skills with polished professional demeanor
- Advanced proficiency in Microsoft Office Suite and scheduling software
- Proven ability to maintain confidentiality and handle sensitive information
- Strong organizational skills with attention to detail in fast-paced environments
