Responsibilities
- Manage multi-line phone system with 50+ daily calls, routing inquiries and taking precise messages
- Coordinate executive calendars, schedule complex meetings, and manage travel arrangements
- Greet and screen visitors, ensuring security protocols while maintaining warm hospitality
- Process incoming/outgoing mail, manage office supplies inventory, and oversee vendor relationships
- Support HR initiatives including onboarding paperwork, benefit inquiries, and event coordination
- Maintain digital filing systems and ensure confidential data protection compliance
Qualifications
- 3+ years of executive-level receptionist or administrative support experience
- Proficiency in Microsoft Office Suite and scheduling software (Outlook, Calendly)
- Exceptional verbal/written communication skills with polished business etiquette
- Ability to multitask high-priority tasks while maintaining composure under pressure
- Strong attention to detail with proven organizational skills
- Associates degree or equivalent professional certification preferred
