Responsibilities
- Operations Management: Oversee the day-to-day administrative operations of the office to ensure a smooth and efficient workflow.
- Vendor & Vendor Relations: Manage relationships with external vendors, including cleaning services, IT support, and office supply vendors, negotiating contracts and ensuring quality standards.
- Facilities & Budgeting: Monitor office budget, manage petty cash, and handle facility maintenance issues, repairs, and renovations.
- HR Support: Assist with onboarding new hires, maintain employee records, and coordinate company events and team-building activities.
- Communication Hub: Act as the primary point of contact for internal and external stakeholders, managing phone systems, emails, and visitor relations.
- Inventory Management: Track office supplies and equipment inventory, placing orders as needed to prevent stockouts.
Qualifications
- Experience: Minimum of 3-5 years of experience in an office management, administrative assistant, or executive assistant role.
- Education: High school diploma or equivalent required; Associate’s degree or Bachelor’s degree in Business Administration preferred.
- Software Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with property management or HR software.
- Communication Skills: Excellent verbal and written communication skills with a professional demeanor.
- Organization: Exceptional organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Problem Solving: Proactive approach to troubleshooting and resolving office-related issues.
