Responsibilities
- Operational Oversight: Manage the daily logistics of the office, including front desk management, mail services, and facility maintenance to ensure a smooth workflow.
- Vendor Management: Act as the primary point of contact for all vendors, including IT support, cleaning services, and office supply vendors, negotiating contracts and ensuring quality service.
- Event Coordination: Plan and execute company-wide events, team-building activities, and board meetings, managing all logistics from catering to venue booking.
- Financial Administration: Assist in budget preparation, expense tracking, and monthly reporting. Manage petty cash and ensure accurate reconciliation of office expenses.
- Team Support: Serve as the first point of contact for employee inquiries, HR onboarding support, and visitor reception, fostering a positive company culture.
- Policy Enforcement: Maintain office policies and safety compliance, ensuring a secure and compliant working environment for all staff.
Qualifications
- Experience: Minimum of 3-5 years of progressive experience in office management, administrative assistance, or a related field.
- Education: High school diploma required; Associate’s degree or Bachelor’s degree in Business Administration preferred.
- Technical Skills: Proficient in Microsoft Office Suite (Excel, PowerPoint, Outlook) and experience with property management or CRM software (e.g., Salesforce, Workday) is a plus.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with stakeholders at all levels.
- Organizational Skills: Exceptional ability to multitask, prioritize workloads, and manage time effectively under pressure.
