The Opportunity:
As our Administrative Assistant, you will serve as the backbone of our daily operations, ensuring seamless coordination between our executive team and various departments. You will handle critical tasks that require a high level of discretion, efficiency, and professionalism.
Responsibilities
- Manage complex calendars, schedule meetings, and coordinate domestic and international travel arrangements with precision.
- Handle all incoming and outgoing communications, including email correspondence, phone calls, and mail.
- Prepare and distribute internal memos, reports, presentations, and agendas for board meetings.
- Assist with office management, including inventory tracking, vendor relations, and maintaining office supplies.
- Organize and maintain accurate physical and digital filing systems for easy information retrieval.
- Act as the primary point of contact for visitors and clients, ensuring a professional reception experience.
Qualifications
- Proven experience as an Administrative Assistant or in a similar support role (2+ years preferred).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Exceptional written and verbal communication skills.
- Strong organizational skills with the ability to multitask and prioritize effectively under pressure.
- High level of discretion, professionalism, and attention to detail.
- Associate’s degree or equivalent professional experience is preferred.
