Responsibilities
- Executive Support: Manage complex calendars, schedule meetings, and coordinate domestic and international travel arrangements with precision.
- Communication Management: Act as the primary point of contact for internal and external stakeholders, managing email correspondence and routing inquiries efficiently.
- Office Operations: Oversee the daily operation of the front office, including mail handling, package management, and maintaining office supplies inventory.
- Data Management: Maintain accurate and up-to-date records in company databases and CRM systems, ensuring data integrity for reporting purposes.
- Event Coordination: Assist in planning and logistics for company events, team meetings, and client presentations.
- Document Control: Prepare, proofread, and distribute meeting minutes, reports, and internal communications.
- Project Support: Assist project managers with administrative tasks, including drafting proposals and tracking project milestones.
Qualifications
- Experience: Minimum of 2-3 years of progressive administrative support experience in a corporate or professional setting.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace; experience with project management software (Asana, Trello) is a plus.
- Organization: Exceptional organizational skills with the ability to prioritize multiple tasks and meet strict deadlines in a fast-paced environment.
- Communication: Superior verbal and written communication skills with a professional and polished tone.
