Responsibilities
- Operational Management: Oversee daily office operations, including mail, deliveries, and facility maintenance to ensure a productive workspace.
- Vendor Relations: Manage relationships with external vendors, including cleaning, maintenance, and IT support, ensuring contracts are up to date and services are meeting company standards.
- Event Coordination: Plan and organize company events, team building activities, and quarterly meetings, managing budgets and logistics.
- Supplies & Inventory: Maintain inventory of office supplies and equipment, placing orders as needed to prevent shortages.
- Staff Support: Assist with HR tasks such as onboarding new hires, maintaining employee records, and managing time-off requests.
- Reception & Front Desk: Greet visitors, manage the front desk area, and screen and direct phone calls professionally.
- Process Improvement: Identify areas for operational improvement and implement efficient workflows to streamline office processes.
Qualifications
- Experience: Minimum of 3-5 years of proven experience in an office management or administrative support role.
- Communication: Excellent verbal and written communication skills, with the ability to interact professionally with staff at all levels.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with project management or HR software.
- Organization: Exceptional organizational skills with the ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Problem Solving: Strong analytical and problem-solving abilities to address facility or administrative issues promptly.
