Responsibilities
- Operational Excellence: Oversee the day-to-day operations of the office, ensuring all administrative functions run efficiently and without interruption.
- Vendor Management: Manage relationships with external vendors, including cleaning services, IT support, and office supply vendors, negotiating contracts and ensuring quality service.
- Event Coordination: Plan and organize company events, team-building activities, and client meetings, from concept to execution.
- Financial Oversight: Manage the office budget, track expenses, process invoices, and prepare monthly financial reports for management.
- Facilities & Logistics: Maintain the physical workspace, handle building maintenance requests, and manage office supplies inventory.
- HR Support: Assist with onboarding new employees, manage employee records, and act as the primary point of contact for HR-related inquiries.
- Communication Hub: Serve as the central point of contact for internal and external communications, managing the front desk and greeting visitors professionally.
Qualifications
- Experience: Proven experience (3+ years) in an office management or administrative leadership role.
- Skills: Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and experience with project management software.
- Communication: Exceptional verbal and written communication skills with the ability to interact with all levels of staff and clients.
- Organization: Outstanding organizational skills with a keen eye for detail and the ability to multitask effectively.
- Problem Solving: Strong ability to identify issues and implement effective solutions quickly.
