Responsibilities
- Operational Leadership: Oversee the daily functioning of the office, including reception, mailroom, and general administrative support to ensure a welcoming environment for employees and clients.
- Staff Supervision: Mentor and manage a team of administrative assistants, providing clear instructions, conducting performance reviews, and fostering a positive work culture.
- Financial Management: Manage the office budget, process invoices, track expenses, and handle petty cash reconciliation with strict accuracy.
- Vendor Relations: Act as the primary point of contact for building management, IT support, and service vendors (cleaning, catering, maintenance) to ensure service level agreements are met.
- Event Coordination: Plan and execute company events, team-building activities, and client meetings, managing logistics, catering, and travel arrangements.
- Policy Implementation: Develop and enforce office policies and procedures, ensuring compliance with company standards and local regulations.
- Inventory Control: Monitor and order office supplies, equipment, and furniture to prevent shortages and optimize inventory levels.
Qualifications
- Experience: Minimum of 4-6 years of progressive experience in office management, administration, or a related field.
- Education: Bachelor’s degree in Business Administration, Human Resources, or a related field is preferred; equivalent experience will be considered.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook) and experience with Property Management or HRIS software.
- Communication: Excellent verbal and written communication skills, with the ability to interact professionally with staff at all levels.
- Organization: Exceptional organizational skills with the ability to multitask and prioritize tasks effectively in a fast-paced setting.
- Problem Solving: Proactive approach to problem-solving with a keen eye for detail and process improvement.
- Flexibility: Ability to work occasional evenings or weekends for special events or company functions.
