Responsibilities
- Calendar & Scheduling: Manage complex calendars for C-suite executives, scheduling meetings, appointments, and managing internal/external communications.
- Travel Coordination: Arrange domestic and international travel itineraries, including flights, hotels, and ground transportation, ensuring cost-efficiency.
- Document Management: Prepare, proofread, and distribute correspondence, memos, reports, and presentations with a high degree of accuracy.
- Meeting Support: Take minutes during executive meetings, prepare agendas, and follow up on action items to ensure accountability.
- Office Operations: Manage office supplies, coordinate vendor services, and maintain a welcoming environment for guests and visitors.
- Data Entry & Reporting: Maintain accurate records in CRM systems and generate weekly/monthly performance reports.
Qualifications
- Experience: Minimum of 2-3 years of experience as an Executive Assistant or in a similar administrative role.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management software (e.g., Asana, Trello, or Monday).
- Communication Skills: Exceptional written and verbal communication skills with the ability to interact professionally with clients, staff, and vendors.
- Organization: Superior organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced setting.
- Attention to Detail: Keen eye for detail with a strong commitment to accuracy and confidentiality.
- Problem Solving: Proactive approach to troubleshooting issues and resolving administrative challenges independently.
