Responsibilities
- Create a welcoming and professional first impression for all visitors and clients entering the office.
- Manage the switchboard and email inquiries with efficiency, ensuring all messages are routed to the correct departments promptly.
- Handle incoming and outgoing mail, packages, and deliveries with accuracy.
- Assist with scheduling appointments and maintaining the company calendar to ensure no conflicts arise.
- Order and maintain office supplies, ensuring the reception area is tidy and organized at all times.
- Provide general administrative support to the executive team, including data entry and filing.
- Act as the point of contact for vendors and service providers, coordinating repairs or services as needed.
Qualifications
- High school diploma or GED required; Associate’s degree preferred.
- Minimum of 1-2 years of professional receptionist or administrative experience.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent verbal and written communication skills with a professional telephone manner.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility to work occasional evenings or weekends as required.
