Responsibilities
- Calendar & Schedule Management: Manage complex calendars for senior executives, including scheduling meetings, coordinating conference calls, and resolving scheduling conflicts with precision.
- Travel Coordination: Plan and book domestic and international travel arrangements, including flights, hotels, ground transportation, and itineraries, ensuring cost-effectiveness and comfort.
- Communication Hub: Serve as the primary point of contact for incoming inquiries, screening calls, taking detailed messages, and directing communications to the appropriate team members.
- Meeting Support: Prepare meeting agendas, compile relevant background materials, take minutes during meetings, and distribute follow-up action items to stakeholders.
- Document Management: Create, edit, and proofread high-quality documents, presentations, and reports using Microsoft Office Suite and Adobe Acrobat.
- Office Operations: Assist with office supply management, vendor relations, and event planning for team gatherings and client meetings.
Qualifications
- Experience: Minimum of 3-5 years of experience in an executive administrative or executive assistant role.
- Software Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software.
- Communication: Exceptional verbal and written communication skills with the ability to interact professionally with C-level executives and clients.
- Organization: Superior organizational skills with the ability to multitask, prioritize tasks, and manage time effectively under pressure.
- Problem Solving: Proactive approach to problem-solving with a keen eye for detail.
- Education: High school diploma required; Associate’s or Bachelor’s degree preferred.
