Responsibilities
- Calendar & Scheduling: Manage complex executive calendars, including scheduling meetings, coordinating travel arrangements, and resolving scheduling conflicts with precision.
- Communication Hub: Serve as the primary point of contact for internal and external stakeholders, screening calls and drafting professional correspondence.
- Document Management: Prepare, proofread, and edit high-level presentations, reports, and memos using Microsoft Office Suite and Adobe Acrobat.
- Meeting Coordination: Organize and facilitate internal and client meetings, including booking venues, preparing agendas, and taking minutes.
- Project Support: Assist with special projects and ad-hoc administrative tasks to support departmental goals and company initiatives.
- Office Operations: Oversee office supply inventory, manage vendor relationships, and ensure a welcoming and efficient office environment.
Qualifications
- Experience: Minimum of 3-5 years of progressive administrative experience, preferably supporting executive leadership.
- Technical Skills: Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook) and experience with CRM software (e.g., Salesforce, HubSpot) is a plus.
- Communication: Exceptional verbal and written communication skills with a polished professional demeanor.
- Organization: Superior time management skills with the ability to prioritize tasks and meet strict deadlines in a high-volume environment.
- Problem Solving: Strong analytical skills and the ability to troubleshoot administrative challenges independently.
- Education: High school diploma required; Associate’s or Bachelor’s degree in Business Administration or a related field is preferred.
