Responsibilities
- Calendar & Meeting Management: Manage complex executive calendars, schedule meetings, coordinate internal and external appointments, and prepare meeting agendas and materials.
- Travel Coordination: Arrange domestic and international travel, including flight bookings, hotel accommodations, and ground transportation; process expense reports accurately and on time.
- Communication Hub: Screen and prioritize incoming communications, including emails, phone calls, and visitors, routing inquiries to the appropriate parties while handling sensitive matters with discretion.
- Document & Data Management: Prepare, proofread, and distribute professional correspondence, reports, presentations, and presentations; maintain organized digital and physical filing systems.
- Project Support: Assist in the planning and execution of company events, conferences, and team building activities; support special projects as assigned by senior leadership.
- Office Operations: Oversee office supply inventory, manage vendor relationships, and ensure the executive suite maintains a polished and professional appearance.
Qualifications
- Experience: Minimum of 3-5 years of experience as an Executive or Administrative Assistant in a corporate setting.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software (e.g., Salesforce, HubSpot) is highly preferred.
- Communication Skills: Exceptional written and verbal communication skills with a polished, professional demeanor and impeccable grammar.
- Organization: Strong organizational skills with the ability to multitask, prioritize tasks effectively, and manage time under strict deadlines.
- Integrity: Ability to maintain strict confidentiality and handle sensitive information with the utmost discretion.
- Education: High school diploma or equivalent required; Associate's degree or Bachelor's degree in Business Administration or related field is a plus.
