Responsibilities
- Calendar Management: Schedule, coordinate, and manage complex calendars for senior executives, including booking meetings and managing travel itineraries.
- Communication: Handle incoming and outgoing communications via email, phone, and in-person; screen and direct calls appropriately.
- Document Preparation: Draft, proofread, and edit correspondence, reports, memos, and presentations with a high degree of accuracy.
- Office Operations: Maintain and organize physical and digital filing systems; ensure office supplies are stocked and equipment is functioning.
- Event Coordination: Assist in planning and logistics for company events, meetings, and conferences.
- Data Entry: Process invoices, expense reports, and other administrative data with precision.
Qualifications
- Experience: Proven work experience as an Administrative Assistant, Executive Assistant, or in a similar role.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with CRM software or project management tools.
- Communication: Excellent verbal and written communication skills in English; bilingual (Spanish/English) is a strong plus.
- Organization: Exceptional organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Education: High school diploma or equivalent; Associate degree or certification in Business Administration is preferred.
