Your Role
As our Administrative Assistant, you will be the backbone of our office operations. You will provide high-level administrative support to senior management and ensure the smooth execution of daily business functions.
Responsibilities
- Manage and coordinate complex executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare, proofread, and edit correspondence, presentations, reports, and other documents with exceptional attention to detail.
- Organize and maintain both physical and digital filing systems to ensure information is easily accessible.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries with professionalism.
- Coordinate departmental meetings, prepare agendas, and distribute minutes to ensure alignment across the team.
- Process expense reports, invoices, and purchase orders accurately and on time.
- Assist with special projects and ad-hoc administrative tasks as requested by management.
Qualifications
- Proven experience (2+ years) as an Administrative Assistant or Executive Secretary in a corporate setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills with the ability to prioritize multiple tasks in a fast-paced environment.
- Excellent verbal and written communication skills in English; bilingual (English/Spanish) is a plus.
- Ability to maintain confidentiality and exercise discretion at all times.
- Associate degree or higher in Business Administration or a related field is preferred.
- Strong problem-solving skills and a proactive attitude.
