Responsibilities
- Calendar Management: Manage complex calendars for executive leadership, scheduling meetings, and arranging conference calls while anticipating scheduling conflicts.
- Travel Coordination: Plan and book domestic and international travel arrangements, including flights, accommodations, and ground transportation, ensuring cost-effectiveness.
- Document Preparation: Draft, proofread, and edit correspondence, presentations, reports, and other documents to ensure accuracy and professionalism.
- Office Operations: Oversee office supply inventory, manage mail and courier services, and maintain a well-organized reception area.
- Meeting Support: Take minutes during meetings, prepare presentation materials, and follow up on action items to ensure projects stay on track.
- Communication Hub: Serve as the primary point of contact for internal and external stakeholders, directing inquiries and escalating issues as necessary.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or Bachelor’s degree in Business Administration preferred.
- Experience: Minimum of 2-3 years of professional administrative experience, preferably in a corporate or executive setting.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace; experience with CRM software (e.g., Salesforce, HubSpot) is a plus.
- Organization: Exceptional organizational skills with the ability to prioritize tasks effectively in a high-volume environment.
- Communication: Superior written and verbal communication skills, with a professional and polished demeanor.
