Responsibilities
- Calendar & Scheduling Management: Expertly manage complex calendars, schedule meetings, coordinate travel arrangements, and ensure all appointments are prioritized efficiently.
- Communication Hub: Act as the primary point of contact for internal and external stakeholders via phone and email; screen and direct inquiries professionally.
- Document Management: Prepare, proofread, and distribute correspondence, including reports, memos, and presentations, ensuring high standards of accuracy.
- Meeting Coordination: Organize and facilitate internal meetings, take detailed minutes, and follow up on action items to ensure accountability.
- Office Administration: Maintain office supplies inventory, manage incoming and outgoing mail, and oversee general office upkeep to ensure a productive workspace.
- Data Entry & Reporting: Maintain accurate digital and physical records, perform data entry tasks, and assist in generating weekly or monthly reports.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or certification in Office Administration is a plus.
- Experience: Minimum of 2-3 years of professional administrative experience, preferably in a corporate or executive setting.
- Technical Skills: Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and experience with CRM software or project management tools.
- Communication: Excellent verbal and written communication skills with the ability to interact with all levels of management.
- Organization: Superior organizational skills with the ability to multitask and prioritize tasks in a fast-paced environment.
- Professionalism: Demonstrated ability to maintain confidentiality and exercise sound judgment in decision-making.
